Job Overview:

The Maintenance Officer is responsible for overseeing and ensuring the proper maintenance, repair, and functioning of the organization's facilities, equipment, and infrastructure. This role involves managing day-to-day maintenance tasks, coordinating with contractors and service providers, ensuring compliance with safety regulations, and carrying out preventive maintenance schedules to minimize downtime.

The role of Maintenance Officer is primarily office and on-site-based, requiring work in various environments within the building, including mechanical rooms, equipment spaces, and other areas that require maintenance. Some tasks may require heavy lifting or physical labor. The Maintenance Officer may be required to work irregular hours, including weekends or holidays, depending on operational needs and emergency situations.

  • Oversee and manage the maintenance and repair of all physical buildings, machinery, and equipment.
  • Ensure that all equipment, tools, and facilities are functioning properly and safely.
  • Perform routine inspections and monitor the condition of the building and equipment.
  • Identify and address any maintenance needs, including plumbing, electrical, HVAC, lighting, and other essential systems.
  • Manage and resolve any emergency repairs as they arise.
  • Develop and implement a preventive maintenance plan for all machinery and systems.
  • Schedule and track regular maintenance tasks, including equipment servicing, lubrication, and safety checks.
  • Monitor the effectiveness of preventive measures to ensure minimal downtime.
  • Troubleshoot and diagnose issues with equipment or building systems.
  • Coordinate and oversee any repairs, ensuring that they are completed efficiently and safely.
  • Maintain records of repairs, replacements, and service history.
  • Ensure that all maintenance activities are carried out in compliance with health and safety regulations and company policies.
  • Regularly inspect the workplace to identify hazards and ensure compliance with safety standards.
  • Ensure the proper functioning of fire safety equipment, emergency exits, and alarms.
  • Maintain and update safety procedures for maintenance activities.
  • Coordinate with external vendors, contractors, and service providers for specialized repairs or services.
  • Negotiate and manage contracts, ensuring timely delivery of services and repairs.
  • Ensure vendors comply with safety, environmental, and operational standards.
  • Monitor the performance of external service providers and address any issues or discrepancies.
  • Maintain a stock of necessary maintenance tools, materials, and spare parts.
  • Monitor inventory levels and order supplies when needed to prevent shortages.
  • Maintain accurate records of inventory usage and expenses.
  • Assist in preparing the maintenance department’s budget and ensure that costs are kept within budgetary limits.
  • Monitor and report on the costs of repairs, replacements, and preventive maintenance.
  • Identify and implement cost-saving strategies without compromising on the quality of work.
  • Supervise and lead a team of maintenance staff or contractors, providing direction and guidance on daily tasks.
  • Train maintenance personnel on proper procedures, safety protocols, and equipment handling.
  • Evaluate the performance of maintenance staff and provide feedback to improve work efficiency.
  • Keep accurate records of maintenance activities, repairs, inspections, and inventory.
  • Report regularly on the condition of equipment, systems, and facilities to management.
  • Prepare maintenance schedules and performance reports.
  • Be on call to respond to emergency maintenance situations during off-hours or weekends.
  • Respond quickly to unexpected breakdowns and repairs, minimizing disruption to operations.

Requirements:

What you need to succeed (Qualifications, experience, skills, attributes)!
In the role of Maintenance Officer, A high school diploma or equivalent is required. A technical certification or degree in Facilities Management or a related field is preferred. Proven experience in building maintenance, facility management, or similar roles.

Experience with HVAC systems, plumbing, electrical systems, and other facility equipment. Hands-on experience with preventive maintenance and troubleshooting of building systems. Knowledge of building codes, safety regulations, and industry standards.

Strong attention to detail and a proactive approach to maintenance. Ability to prioritize tasks based on urgency and importance. A team player with strong leadership and supervisory skills. Strong commitment to safety and environmental sustainability.
