Job Overview:

A Document Clerk is a role that involves both managing, organizing, and maintaining documents as a clerk, and performing delivery or collection tasks as a rider. This dual role requires administrative skills for handling documents, as well as the ability to travel and perform courier-related duties, ensuring that documents are delivered or collected in a timely and efficient manner.


What will you enjoy doing (duties/tasks)

  • Collect and deliver important documents, letters, packages, or parcels to clients, vendors, offices, or departments as per business needs.
  • Collect documents from various departments or clients, ensuring all necessary paperwork is gathered and returned in a timely manner.
  • Ensure that documents are transported securely and that confidentiality is maintained throughout the delivery process.
  • Plan delivery routes efficiently to ensure timely and cost-effective travel between locations, avoiding delays and optimizing time management.
  • Obtain necessary signatures or other forms of acknowledgment from recipients upon delivery or collection.
  • Maintain accurate records of deliveries and collections, including timestamps, recipient details, and any special instructions or issues that arose during the process.
  • Report back to the office regarding the status of deliveries, any delays, or issues encountered.
  • Safely operate and maintain the assigned vehicle (motorcycle, scooter, bicycle, or company car), ensuring it is in good working condition for daily use.
  • Navigate local traffic and follow all road safety regulations to ensure safe and efficient deliveries.
  • Perform routine maintenance checks on the vehicle (e.g., checking fuel levels, tire pressure, and basic functions) to avoid any operational issues during the workday.
  • In the event of an accident, breakdown, or any other issue with the vehicle, immediately report it to the appropriate person and follow company protocols.
  • Communicate professionally with clients, recipients, and colleagues. Ensure that deliveries are made to the correct person or department and handle any special requests or instructions.
  • Address any issues that arise during deliveries or collections, such as incorrect addresses, delays, or changes in delivery requirements.
  • Co Keep the office informed of any delivery issues or changes in schedule, and confirm successful deliveries or collections.
  • Handle sensitive documents with care, ensuring they are kept secure during transport and only delivered to the correct individuals.
  • Adhere to any relevant data protection laws (e.g., GDPR) when handling documents containing personal or confidential information.
  • Follow company security procedures to safeguard documents during transit.
  • When not actively delivering documents, assist the office in organizing and filing documents, ensuring that all paperwork is stored and managed properly.
  • Perform additional errands as required, such as collecting office supplies, making minor administrative deliveries, or completing other time-sensitive tasks for the organization.

Requirements:

What you need to succeed (Qualifications, experience, skills, attributes)!
As per the role of Document Clerk, A High School Diploma or equivalent. Additional certifications, such as defensive driving courses or basic first aid, may be beneficial. Prior experience as a delivery rider or in a similar courier role is preferred.

Experience in managing schedules and handling sensitive or confidential documents is a plus.
