Job Overview:

The General Manager/ (Country Head) - Project Forwarding, Exhibitions & Events Management will be responsible for overseeing the end-to-end execution and management of complex logistics and freight forwarding projects related to exhibitions, trade shows, and large-scale events. This role will involve managing key client relationships, coordinating with internal and external stakeholders, and ensuring the timely and cost-effective delivery of materials and services for exhibitions and events globally.

She/he will work to ensure that all logistical aspects of project forwarding, including transportation, customs clearance, handling, and on-site management, meet client requirements and operational standards.

  • Lead the development and execution of strategies for the Project Forwarding, Exhibitions & Events Management services, ensuring alignment with the company's overall goals.
  • Oversee a team of project managers, logistics coordinators, and other relevant personnel, providing leadership, guidance, and performance management.
  • Drive continuous improvement initiatives within the department to optimize service delivery, cost management, and client satisfaction.
  • Manage and monitor the execution of complex logistics projects for exhibitions, events, and specialized project forwarding, ensuring all phases are delivered on time, within budget, and to the highest quality standards.
  • Build and maintain strong, long-term relationships with key clients in the exhibitions and events industry, ensuring a high level of customer satisfaction.
  • Act as the primary point of contact for major clients, handling inquiries, resolving issues, and addressing any concerns related to project logistics or service delivery.
  • Provide expert advice to clients on the most efficient logistics and transportation options for exhibitions, events, and other specialized projects.
  • Ensure a proactive approach to understanding client needs, offering customized solutions, and anticipating potential challenges or delays in the execution of projects.
  • Oversee all aspects of project forwarding related to exhibitions, trade shows, and events, including coordination of transportation, customs clearance, storage, on-site handling, and post-event logistics.
  • Develop detailed project plans for each event, outlining timelines, resources, and deliverables, and ensure the successful execution of each project from initiation to completion.
  • Manage logistics, transportation, and coordination of cargo, ensuring that all materials and equipment arrive on time and in perfect condition.
  • Ensure that all legal, regulatory, and customs requirements are met during the transportation and handling of goods for exhibitions and events.
  • Develop, manage, and track budgets for each exhibition or event project, ensuring that all expenses are accounted for and kept within budget.
  • Identify opportunities for cost savings, negotiate rates with vendors and suppliers, and manage resource allocation to ensure the most cost-effective solutions for clients.
  • Monitor project expenses throughout the execution phase, providing regular updates and cost forecasts to senior management and clients.
  • Lead, mentor, and develop a team of professionals responsible for managing the logistics and coordination of exhibitions and event projects.
  • Provide training and support to ensure the team is equipped with the necessary skills, tools, and knowledge to succeed.
  • Encourage a collaborative, solution-oriented approach within the team, fostering a culture of continuous improvement and accountability.
  • Delegate tasks and responsibilities effectively, ensuring that team members are empowered to take ownership of projects while maintaining oversight.
  • Manage relationships with third-party vendors, suppliers, and contractors involved in exhibition and event logistics, including transportation providers, customs agents, and on-site support teams.
  • Negotiate contracts, terms, and service level agreements (SLAs) with external vendors to ensure high-quality, cost-effective service delivery.
  • Oversee the performance of external vendors, ensuring that they meet the required service standards and client expectations.
  • Identify potential risks in the logistics and supply chain processes for exhibitions and events and proactively develop mitigation plans.
  • Resolve issues related to shipping delays, customs challenges, damage to goods, or logistical disruptions to ensure minimal impact on client operations.
  • Act as a point of escalation for operational problems and provide timely solutions, including contingency planning when necessary.
  • Establish and track key performance indicators (KPIs) to measure the success of each project, including on-time delivery, budget adherence, and customer satisfaction.
  • Provide regular reports to senior management regarding project status, financial performance, and any challenges or issues encountered during the execution phase.
  • Conduct post-event evaluations, identifying areas for improvement and implementing lessons learned for future projects.
  • Stay abreast of trends, innovations, and regulatory changes in the exhibitions and events logistics sector.
  • Network with industry professionals, attend relevant trade shows, and stay connected to emerging opportunities within the global exhibition and event space.
  • Represent the company at industry events and forums, promoting services and expanding business development opportunities.

Requirements:

What you need to succeed (Qualifications, experience, skills, attributes)!
In the role of General Manager/ (Country Head) - Project Forwarding, Exhibitions & Events Management, A Bachelor’s/ Master's degree in Logistics, Supply Chain Management, Business Administration, or a related field and professional certifications is preferred. 10+ years of experience in logistics, freight forwarding, and project management, with at least 5 years in a leadership role focused on exhibitions, events, or project forwarding.

Proven track record of successfully managing complex, large-scale logistics projects for exhibitions, trade shows, and events. Extensive experience in handling international shipments, customs procedures, and managing logistics teams. Strong knowledge of industry regulations, trade compliance, and customs processes related to international exhibitions and events. Expertise in project management, including planning, execution, budgeting, and risk management. Strong negotiation skills with vendors, suppliers, and contractors. Proficiency with logistics software, transportation management systems (TMS), and other related tools (e.g., Excel, SAP, WMS). Excellent communication and interpersonal skills, with the ability to build strong relationships with clients, vendors, and internal teams. Exceptional problem-solving skills, with the ability to manage multiple projects simultaneously and adapt to changing requirements.
