Job Overview:

A role for which we are looking Records Manager is responsible for overseeing the creation, storage, retrieval, and management of an organization’s records and documents, ensuring compliance with legal, regulatory, and organizational requirements. This role is critical for maintaining the integrity, confidentiality, and accessibility of records, whether paper-based, electronic, or both.

This role involves developing records management policies, ensuring proper storage and retrieval systems, training staff, conducting audits, and implementing technology solutions for effective records handling. The position requires strong organizational skills, attention to detail, and knowledge of compliance regulations related to records and data privacy.

  • Develop, implement, and maintain a comprehensive records management policy and program that aligns with organizational needs and complies with industry standards and legal requirements.
  • Establish and manage records retention schedules, ensuring records are kept for the appropriate length of time and disposed of properly when no longer required.
  • Organize, categorize, and index physical and digital records for easy retrieval and access.
  • Implement filing systems, both physical and electronic, ensuring they are well-structured, secure, and efficient.
  • Oversee the transition of records between paper-based systems and electronic document management systems (EDMS), digitizing records where applicable.
  • Ensure that all records management activities comply with relevant laws, regulations, and standards (e.g., data privacy laws like GDPR, HIPAA, or other industry-specific regulations).
  • Maintain awareness of changes in legal and regulatory requirements related to records retention, data protection, and privacy laws.
  • Work with legal and compliance teams to ensure that sensitive or confidential records are handled appropriately and securely.
  • Establish procedures for efficient and accurate retrieval of records, ensuring that employees and authorized parties can access necessary documents in a timely manner.
  • Implement security measures to control access to sensitive records, ensuring that only authorized personnel can access certain types of information.
  • Train staff across the organization on records management procedures, ensuring they understand how to properly store, retrieve, and dispose of records.
  • Provide ongoing support to departments for any records-related queries or issues, guiding them in compliance with the organization’s records management policies.
  • Maintain an accurate inventory of all records, both physical and digital, including the location and status of each.
  • Conduct regular audits of records management systems to ensure compliance with established policies, identify gaps, and implement improvements.
  • Oversee periodic review and disposal of records that are no longer needed, in accordance with retention schedules.
  • Oversee the selection, implementation, and maintenance of records management software and systems, ensuring they meet organizational needs and compliance standards.
  • Evaluate and recommend improvements to records management tools, including document management systems (DMS), electronic records management systems (ERMS), and cloud storage solutions.
  • Develop and enforce procedures for the proper disposal or destruction of records that are no longer needed or have exceeded their retention periods.
  • Manage the archiving process for long-term retention of records, ensuring they are preserved in a secure and accessible manner.
  • Prepare reports for management and stakeholders regarding the status of records management processes, compliance issues, and areas for improvement.
  • Document all records management activities, including the disposal of records, audits, and employee training, to maintain a clear and accurate record of actions taken.

Requirements:

What you need to succeed (Qualifications, experience, skills, attributes)!
As per the role of Record Manager, Bachelor’s Degree in Management, Library Science, Business Administration, or a related field. Proven experience (typically 3–5 years) in records management, information governance, or a related field. Proficiency with records management software and tools (e.g., SharePoint, OpenText, FileNet, or other DMS/ERM software).

Strong knowledge of data privacy regulations (e.g., GDPR, HIPAA, or other relevant industry standards). Experience with cloud storage and digital document management systems.

Proficient in Microsoft Office Suite, especially Excel and Word, for managing records and reporting. Often collaborates with departments such as IT, legal, compliance, and operations to ensure the records management system supports the entire organization’s needs.
